Giraffe Lodge B.V. is the data controller for the processing of personal data as described in this policy.
2. What data we process and why
Reservations (via Zenchef)
When you book a table online, we process your name, telephone number, email address, reservation details (date, time, number of guests) and any remarks such as allergies or dietary requirements. We use this data to carry out your reservation and to keep you informed (for example, a confirmation or reminder). Legal basis: performance of a contract. Retention period: as long as necessary for the reservation and our records.
Contact
If you call or email us, we process the data you provide in order to answer your enquiry. Legal basis: legitimate interest (customer contact). Retention period: as long as necessary to handle your enquiry.
Website visits and statistics
When you visit our website, depending on your cookie preferences, we process data about your use of the site (such as pages viewed, click behaviour, device and browser information and a pseudonymised IP address). We use this data to improve the website and to measure our marketing. Legal basis: consent (via the cookie banner). Retention period: depends on the service; see below.
3. Which services we use
We use the following third-party services on our website:
Zenchef (reservation system)
Our online reservation system is provided by Zenchef SAS (France, EU). Zenchef processes your reservation data on our behalf as a data processor. Please also refer to Zenchef’s privacy policy.
Hosting
Our website runs on WordPress and is hosted on DigitalOcean servers via the Cloudways management platform, in a data centre within the EU (Amsterdam). Server log files (such as IP addresses) may be temporarily processed for security and technical management purposes.
Google Tag Manager
We use Google Tag Manager (Google Ireland Ltd.) to manage measurement and marketing scripts on the website. Google Tag Manager does not place cookies itself but loads the services described below, strictly in accordance with your cookie preferences.
Google Analytics 4
With your consent, we use Google Analytics 4 (Google Ireland Ltd.) to measure how many visitors our website has, which pages they view and which steps they take in the booking system and the enquiry forms. We do not send anything you enter in a form to Google. Without your consent, Google Analytics places no cookies and Google only receives a signal without a cookie ID (Google Consent Mode). Data may be transferred to the United States; Google is certified under the EU-US Data Privacy Framework. The data is kept for up to 14 months.
Microsoft Clarity
With your consent, we use Microsoft Clarity (Microsoft Corporation) to see how visitors use our website, through heatmaps and session recordings of clicks, scrolling and mouse movements. This shows us where visitors get stuck so that we can improve the website. Clarity does not record anything you enter in a form, and numbers and email addresses on the page are masked. Without your consent, we do not load Clarity. Clarity places the cookies _clck (12 months) and _clsk (1 day). The data is stored in Microsoft’s cloud (Azure) and may be transferred to the United States; Microsoft is certified under the EU-U.S. Data Privacy Framework. Session recordings are kept for 30 days, a small selection for up to 9 months.
Google Maps
On our contact page we display a Google Maps map. When loaded, Google may place cookies and process data.
We have entered into data processing agreements with parties that act as processors on our behalf. We never sell your data to third parties.
4. Cookies
Our website uses functional cookies (necessary for the operation of the site, such as remembering your cookie preferences and the reservation system) and, only with your consent, analytical and marketing cookies from the services mentioned above. On your first visit you can choose which cookies you allow via the cookie banner. You can change or withdraw your preferences at any time via the cookie settings on the website and by deleting cookies in your browser.
5. Transfer outside the EEA
Some of the service providers mentioned (Google and Microsoft) may process data on servers outside the European Economic Area, particularly in the United States. Such transfers take place on the basis of the EU-US Data Privacy Framework and/or the European Commission’s standard contractual clauses.
6. Security
We take appropriate technical and organisational measures to protect your data, including a secure connection (SSL), restricted access to data, and regular updates and backups of our systems.
7. Your rights
You have the right to:
- request access to the personal data we process about you;
- have inaccurate data corrected;
- have your data deleted;
- restrict or object to the processing;
- receive your data in a commonly used format (data portability);
- withdraw consent at any time.
Please send your request to info@giraffelodge.nl. We will respond within four weeks. To verify that the request was made by you, we may ask you for additional information.
If you disagree with the way we handle your data, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
8. Changes
We may amend this privacy policy, for example when we start using new services. The current version is always available on our website.
